Features of the electronic invoice in Poland

Tax Authority - Ministerstwo Finansów.

KSeF (Krajowy System e-Faktur) is the Polish National e-Invoice System.

Format –

B2B: XML FA (2) - current version, FA (3) Draft Version

B2G: UBL 2.1 Peppol BIS 3.0

B2C: Issuing business-to-consumer (B2C) invoices through KSeF is optional. Consumers can retrieve these invoices by scanning a QR code.

Archival – 5 years

Obligation

Since 2019, all government offices in Poland must receive and handle electronic invoices.

For business-to-business (B2B) transactions, using e-invoices will become mandatory in two steps:

From February 1, 2026, large businesses (those making over 200 million PLN a year) must start using e-invoicing.

From April 1, 2026, all other businesses will also be required to follow this rule.

In Poland, companies are required to submit their accounting information through the SAF-T (Standard Audit File for Tax) system.

Digital signature is not mandatory.
